Planning a semester abroad
Prerequisites
Here you will find all the information you need to apply and plan a stay abroad as part of an exchange programme. Please read the information carefully and feel free to contact us if you have any questions.
Bachelor students
...must be enrolled at Viadrina and have completed two years of their degree programme before going abroad. We recommend that you go abroad in the 5th and/or 6th semester. You apply for this about one to one and a half years in advance, i.e. usually in your 3rd semester if you started your studies in the winter semester or in the 2nd semester if you started in the summer semester.
Important note for all law students (1st state examination):
We advise against starting a semester abroad before passing the intermediate examination.
Master's students
...must be enrolled at Viadrina and have completed at least one semester of their degree programme before going abroad. We recommend that you go abroad in the 3rd and/or 4th semester. You apply for this about one to one and a half years in advance, possibly at the same time as you apply for a place at Viadrina, or in your first semester.
Bachelor's students of the Faculty of Business Administration and Economics should have completed at least 24 ECTS in order to apply for a stay abroad at one of the Viadrina partner universities. Students who do not yet have 24 ECTS can apply for remaining places in the second or third application round if they fulfil the required ECTS by then, or should postpone their stay abroad by one year to the 7th and/or 8th semester. This regulation does not apply to students from other Faculties.
In order to study at our partner universities, you must have the appropriate language skills. Some universities require proof of language proficiency at B2 level according to the Common European Framework of Reference for Languages, a TOEFL or IELTS. You can find information on this directly on the websites of the foreign universities and in our lists of partner universities.
Courses helt in English
...can be found at many of our partner universities, not only in the USA or the UK, but also in Scandinavia or in Central and South Eastern European countries, for example.
Proof of required language certificates
...must be submitted at the required level at the time of application to the partner university. In order to be nominated for a place abroad in Viadrina's internal application procedure, this is not yet necessary at the required level. However, we reserve the right to make a conditional acceptance for a place abroad if language skills are insufficient.
Taking language tests
TOEFL tests or other language tests cannot be taken every day. Allow enough time to prepare for a test and register for it with the relevant institutions. Students who have knowledge of a language for which they do not yet have a certificate can obtain a DAAD language certificate from the Viadrina Language Centre. Special regulations apply for the English, Spanish and Russian language department.
When planning your trip, bear in mind that the cost of living abroad can be considerably higher than in Germany. There may also be travel, visa and additional insurance costs. Some partner universities require a certain GPA (Grade Point Average) or a minimum grade point average or that you have already completed a certain number of ECTS points at the time of application at the partner university. We have listed all the specifics in our partner university lists and you can also find them directly on the partner universities' websites.

Application
Study abroad in another European country (Erasmus+) or outside Europe (non-EU) 2025/26.
Regular selection procedure - First round of applications
- To the online application portal(will be activated from 6 November 2024)
- 1st application deadline: 4 December 2024 (11:59 pm)
If you are registering for the first time, there may be a delay in sending the activation link; please also check your spam folder. If you have previously applied via our online portal, please use your existing access data.

- Release of the list with the remaining places for the 2nd round: 19 February 2025.

Third application round - ‘Fist come, first serve’
The remaining places will be allocated via a third round of applications in the ‘Fist come, first serve’ procedure.

- Applications can then be sent by e-mail to outgoing-application@europa-uni.de until the nomination deadline at the respective partner university.

Allocation of remaining places for the semester abroad
The application procedure for a study-related stay abroad takes place centrally only once a year in November/December. It relates to the entire academic year: you therefore apply at the beginning of December 2024 for a stay abroad in the winter semester 2025/26 and/or for the summer semester 2026.
The procedure is as follows:
- The Viadrina concludes agreements with partner universities .
- You apply to the Viadrina for a stay abroad at the contracted partner universities. After our selection and your acceptance, we will nominate you to the partner university/universities for which you have been selected.
- You then apply directly to the partner university/universities. It is not possible to apply directly or contact the partner universities before your nomination.
After the regular selection procedures, the remaining places will be allocated.
All documents that you submit with your application are a criterion in our selection for stays abroad:
- Completed academic achievements (average and number)
- Only for Bachelor students of the Faculty of Business Administration and Economics - at least 24 ECTS credits completed at the time of application
- Language skills
- Letter of motivation
- Involvement in student initiatives (e.g. Interstudis) or other organisations
- Overall impression compared to the other applicants .

Preparation
In order to study at one of Viadrina's partner universities, you need health insurance, just like in Germany.
Within the EU, your European health insurance is often sufficient. However, we recommend that you take out additional insurance if necessary.
Supplementary insurance is usually required for stays abroad outside Europe.Note:
Please check with your insurance company which services are covered abroad and, if necessary, take out supplementary insurance that also includes, for example, repatriation in the event of illness.

Staying in other European countries
For the most part, EU citizens do not need a visa for their stay in other European countries, but in some cases there are local residence formalities to be observed. You can usually obtain information on this from our partner universities and the respective diplomatic mission in the host country.
Non-EU citizens can usually apply for a visa at the relevant embassy or consulate in Germany. In very rare cases, it is necessary to apply from your home country. It is also possible to study in EU member states without a visa and in accordance with the REST Directive. Within the framework of EU mobility, you can also stay in other member states for up to 360 days with a German residence permit for study purposes (with the exception of Ireland and Denmark). Please note that despite this, partner universities in some countries advise you to apply for a visa.In addition, you must extend your existing residence permit in Germany before the start of your stay abroad so that it is still valid if you wish to re-enter the country. Otherwise, it will not be possible to re-enter Germany without a valid residence permit, or you will have to clarify formalities from your home country again.
Note that the application formalities for visas and residence permits take a lot of time and take care of them in good time.
Stays outside Europe
For study visits to non-EU countries, EU and non-EU citizens alike usually need a visa. Please enquire about the formalities at the embassies of the respective country. You will receive corresponding information from your coordinator at the Viadrina and the respective partner university or from the embassies/consulates.
First steps of the visa application
- You have been accepted for an exchange programme by Viadrina International Affairs.
- After your acceptance for a Viadrina partner university, you will be invited to information events and informed about general procedures for applying to the partner university and visa formalities.
- Inquire at the embassy of the respective country whether you need a visa and what formalities need to be completed
- After the application process has been completed by the Viadrina International Affairs department and you have been admitted to the partner university, the university will send you a letter of acceptance.
- Use this Letter of Acceptance to apply for a visa at the relevant diplomatic mission abroad.
Some of our partner universities offer accommodation in student residences and may also help you to find other accommodation options. Information can be found directly on the websites of the partner universities.
Please take particular care when seeking help from estate agents abroad. It is best to take someone who speaks the language and knows the country with you when you sign a tenancy agreement. Some universities offer a so-called buddy, mentor or tutor programme - so you could also ask a local student for help with finding accommodation.On Facebook, you will find many different groups relating to the partner university, city and country. These groups often address housing issues and offer rooms directly. You can also find information about living abroad in the testimonials of former exchange students.
Student residenceStudent residences can offer a wide variety of accommodation options. Halls of residence are often organised in such a way that you occupy a single room and share a bathroom and kitchen with flatmates. In other student residences, there are complete flats with small kitchenettes and their own bathroom. The dormitories also vary considerably in terms of furnishings, and you often have to bring your own bed linen and/or kitchen utensils. However, the websites usually provide detailed information on this.
Be aware that the rooms are often double rooms, especially in Eastern Europe, so you will have to share them with another person. Sometimes student residences also offer rooms for single occupancy, but at a higher cost.Please also bear in mind that some halls of residence have comparatively strict rules, e.g. no visitors or alcohol are permitted and offences will be punished. A hall of residence often has larger common rooms, on-site contact persons and sports facilities. Washing facilities with dryers and cleaning of public areas are usually also part of the facilities. Sometimes so-called meal plans are linked to rooms in the hall of residence, i.e. certain or all meals are included in the usually higher rent.
The costs in halls of residence vary widely and depend on the national cost level and the facilities. Whether they are cheaper or more expensive than private accommodation also depends on the country and city. Also be aware that some halls of residence may be located on or within walking distance of campus and not always in the city centre.
Extension of a stay abroad
After consultation, it is possible to extend your stay abroad by one semester. To do this, you must first obtain our permission and then the consent of the partner university. At some universities, e.g. in Australia, Canada and the USA, this is generally not possible. In addition, at Maynooth University in Ireland, an application for an extension is only possible before the start of your studies abroad.
We must check separately whether a mobility grant can also be paid for the second semester if you extend your studies abroad within the Erasmus+ programme.In the Erasmus+ programme, it is easier to extend a stay abroad from the winter semester to the summer semester than from the summer semester to the winter semester. This is only an option in exceptional cases and also requires a separate review by the Viadrina International Affairs department.
Within many of our non-EU partnerships, extensions are possible by arrangement regardless of the semester (e.g. in Latin America). KA107 stays (Ukraine-Georgia-Russia) can also be extended independently of the semester, subject to funding approval.
Back from abroad. What now?
Within four weeks of your return, you should submit the required documents/evidence to us.
For a stay abroad with Erasmus+ (EU) (also Georgia and Ukraine with Erasmus+ KA171)
Please send the listed documents/evidence individually in an e-mail to your responsible outgoing coordinator.
- (Online) Learning Agreement & Changes during the Mobility - signed by you, the Viadrina and the partner university. This is usually already available and is only included here for completeness.
- Letter of Stay* - Confirmation of Arrival and Departure.
- Experience Report* - even if you have only studied online from your home country, we ask you to write a short report on your experiences.
- Transcript of Records - We require an email with the transcript directly from the partner university or the original by post. We will inform you when the document arrives. An online extract of the grades or forwarding of the transcript by you is not sufficient. If you have received the original transcript, you must either hand it in to our office in person or send it to us by post. You are welcome to have the original back once the recognition has been issued. EU online student report - you will receive the request automatically by e-mail, please also check your spam folder. Please contact your responsible outgoing coordinator at the Viadrina if you have not received the link. If you have only studied online from your home country, you do not need to complete an EU online student report.Application for recognition - Is only possible after receipt of the transcript of records. Varies depending on the Faculty, details on the recognition websites.

Recognition of foreign academic achievements
In principle, Viadrina is prepared to recognise academic achievements gained abroad. However, the scope and procedure of recognition varies between the three faculties. For example, the Faculty of Law is much more strongly bound by legal requirements with regard to the recognition of credits than is the case for the Faculty of Business, Economics and Cultural Sciences.
The following general guidelines on recognition apply to all three faculties:
- Certificates of achievement from abroad can only be recognised if they come from regular universities with the right to award doctorates or business or law schools with corresponding accreditations. This is the case for all of Viadrina's partner universities. Special rules apply for colleges. Study achievements can only be recognised if they can be assigned to the subjects offered at ViadrinaWithin Europe, the requirements of the European Credit Transfer System (ECTS) apply.

- In place of the English Transcript of Records, students of the Faculty of Business Administration and Economics can submit an English version of the HIS portal grade transcript (switch the language settings of the HIS portal to English). If necessary, you can have the HIS grade transcript notarised at the Viadrina International Affairs department (AM 207).
