Erasmus+ is a programme that enables you to complete a financially supported internship abroad. This gives you the opportunity to not only get to know the culture of other countries in Europe, but also to gain valuable work experience in an international environment. The Erasmus+ internships at Viadrina are managed by the Career Center. Regardless of whether you are still studying, have just completed your degree or are in the middle of your doctoral thesis - you can apply for funding at any time as soon as you have found an internship position and your internship meets the funding criteria.

Informationen zu Erasmus+ und Vorteile

Erasmus+, here in the KA 131 version, is an EU mobility programme that enables students, teachers and administrative staff to move between universities in 28 EU member states as well as Iceland, Liechtenstein, Norway, North Macedonia and Turkey. The programme contains three key actions:

1. learning mobility of individuals,
2. cooperation between organisations and institutions and
3. support for policy development and political cooperation.

Objectives
Erasmus+ has a budget of more than 26 billion euros. Some 10 to 12 million people are set to benefit from EU funding between 2021 and 2027. The overarching aim of the seven-year programme is to support the educational, professional and personal development of people in education, training, youth and sport in Europe and beyond through lifelong learning. In this way it shall contribute to sustainable growth, quality jobs and social cohesion, promoting innovation and strengthening European identity and active citizenship. The programme is thus an important instrument for creating the European Education Area and promoting strategic European cooperation in education and training and its underlying sector-specific objectives. It is also central to the strengthening of youth policy cooperation in the framework of the Union Youth Strategy 2019-2027 and to the development of the European dimension of sport.

Priorities
For the current programme (2021-2027), there are four priorities - the so-called "horizontal priorities" - that apply to all measures. They reflect common European values and serve to address key challenges in our societies today.

  • Environment and combating climate change
  • Participation in democratic life, shared values and civic engagement

Mobility measures
The funding for most mobility measures and the Strategic Partnerships is awarded by the National Agencies in the 33 programme countries (27 EU countries, Iceland, Liechtenstein, North Macedonia, Norway, Turkey). In Germany, this task is carried out by the NA German Academic Exchange Service (DAAD).

The following mobility measures are funded under the umbrella of the EU education programme Erasmus+:

  • Student mobility for study purposes (SMS)
  • Student mobility for internship purposes (SMP)
  • Staff mobility for teaching and learning purposes (STA) and invited company staff (STA2)
  • Staff mobility for further education and training purposes (STT)
  • Blended Intensive Programmes (BIP)

The Erasmus Charter for Higher Education (ECHE) was awarded by the EU Commission, proving that the European University Viadrina fulfils all requirements for successful participation in the Erasmus+ programme. The ECHE was applied for with the European Policy Statement (EPS).

With Erasmus+, the EU supports young people in gaining new experiences abroad. The programme not only aims to internationalise the education system in Europe, but also to improve your skills, your personal development and your career chances. Whether studying or doing an internship abroad - Erasmus+ makes it possible!

You can be funded for a total of 12 months per study phase for your studies and/or internship. This means that several Erasmus+ mobilities are also possible. In single-cycle study courses, such as the state examination, you can even receive funding for 24 months.

Eligibility Criteria and Application

Students, graduates and PhD students who are going to complete an internship in an Erasmus+ country can apply for funding under the Erasmus+ programme at the Career Centre anytime, but no later than six weeks before the start of the internship.

Who is eligible for an Erasmus+ Traineeship?

Undergraduate students, graduates (up to one year post-graduation), and enrolled doctoral students at Viadrina are eligible for Erasmus+ funding if they meet the following criteria:

  • Have not exhausted their Erasmus budget of 12 months in the current study cycle.
  • Have secured an internship that meets the listed below requirements.
  • Possess good language skills in the intended working language.
  • Are relocating abroad for the internship.

The traineeship must take place outside the country of your primary residence. International students wishing to intern in their home country may be funded only if they can prove that they are registered as resident in Germany at the time of signing the grant agreement.

Which requirements must the traineeship fulful?

Location:
The internship must take place in the Erasmus area: 27 EU member states (excluding Germany) and their overseas territories, Iceland, Liechtenstein, North Macedonia, Norway, Serbia, Turkey.

Switzerland and the UK are currently not participating in Erasmus+. Therefore, funding for internships in the UK/Northern Ireland and Switzerland will only be available on a limited basis until 2027. Please get in touch with us.

Duration:
Long-term Mobility
The Traineeship lasts at least 60 days (the 31st day of any month is not counted). Funding covers a maximum of 180 days in the current project.

Short-Term Mobility:
If, for personal, family, health or study-related reasons, you are unable to spend at least 60 days abroad, you can combine a shorter stay in the host country (5–30 days) with a virtual component. In this case, the virtual component is compulsory (see also the ‘Short-Term Mobility’ tab). Doctoral students may undertake short-term internships without a virtual phase (5-30 days).

Working hours:
The internship must be full-time and the main purpose of your stay abroad.

Study-Related:
The internship should be related to your studies and ideally integrated into the degree program (not applicable to graduates and doctoral students). Voluntary study-related internships can also be funded. When deciding on the duration of the internship, please also consider the requirements of the study and examination regulations.

Exclusion Criteria for Funding

An internship cannot be founded if:

  • You do not reside in the host country during the internship.
  • The funding application is submitted only a few days before or after the internship begins (no retroactive funding possible).
  • The internship takes place at an EU institution, other EU entities, specialized agencies, or organizations managing EU programs (e.g., EU Voluntary Services, DAAD- see full list).
  • Double funding from EU sources is present.

 

If you can´t  go abroad for at least 60 days for personal, family, health or study-related reasons, you have the option of combining a shorter stay in the host country (5-30 days) with a virtual component. This is mandatory in this case.
Promotion students can also complete a shortened internship abroad without a virtual phase (5-30 days).

Apart from the duration, the same funding and selection criteria and deadlines apply as for long-term mobility. Please also submit the same application documents to us.

You will only receive funding for the days you stay abroad. The funding amounts to EUR 79/day up to the 14th day and EUR 56/day from the 15th to the 30th day. Details can be found under the "Funding" tab.

Possible reasons for an internship with a short stay in the host country are:

  • health-related constraints,
  • family obligations (children, caring for relatives)
  • financial restrictions that make a long-term stay impossible despite funding,
  • requirements in the study structure

You can submit the application for Erasmus+ funding for your internship at any time, but preferably no later than 6 weeks before the start of the internship by email or in person at the Career Center.

The following documents must be submitted:

  • The completed and signed application form (see download area).
  • Letter of motivation (How does the internship fit in with your studies? Why this country? 1/2 to max. 1 DIN A4 page in German or English)
  • Your CV (German or English)
  • A confirmation from the internship organisation (confirmation, e-mail, contract)
  • Your current certificate of enrolment
  • Declaration of means of transport and eventually additional travel days  (see download area)
  • If applicable, the declaration of honour on a social top-up (see download area). If you do not submit it, we will assume that you are not eligible.
  • Grade overview/printout from ViaCampus
  • If available, proof of knowledge of the working language (excerpt from your study book for language courses from the Viadrina Language Centre website; other certificates if applicable)
  • International students completing the internship in their home country: Proof that they have their main place of residence in Germany during their studies.

What happens after the application?
If your application meets the funding criteria, you will receive the funding confirmation from us together with the Erasmus+ documents/agreements and further information by email.

Currently, we are lucky to support all internships that fulfil the Erasmus+ funding criteria.

You can submit your application for Erasmus+ funding at any time, but preferably no later than 6 weeks before the start of your internship by email or in person at the Career Center. Applications submitted at shorter notice cannot always be considered.

We endeavour to support students and graduates with psychological, mental or physical illnesses in organising and completing an internship abroad. However, depending on the severity of the disability, it can be difficult to find an internship position abroad. Please contact us personally if you would like support in planning your internship.

Equal opportunities are a central concern of the Erasmus+ programme. That is why participants with health restrictions can get special support:

Top-up amount
Students and graduates with a degree of disability (GdB) of 20 or more as well as those with a proven disability or chronic illness (physical or mental), due to which they have additional financial needs during their stay abroad, can apply for a top-up amount of 250 euros per month.

Shorter stays (Short-Term) and individual adjustments
Students and graduates who are unable to complete an internship abroad of at least 60 days due to their state of health have the opportunity to participate in a Blended Short-Term Mobility. The internship is primarily completed online from home and only 5 to 30 days are spent abroad at the internship intitution.

Please get in touch with us if you are unable to fulfil certain eligibility criteria, such as full-time employment, due to health restrictions. We will clarify with the DAAD whether an exception is possible in your case.

Application for reimbursement of real costs
You have the possibility to apply for full or partial reimbursement of additional costs incurred  during your stay abroad and, if applicable, for a preparatory trip.  A separate application must be submitted for this.

As you will have to prove the difference between the costs at home and abroad, please allow sufficient time for the application and be sure to inform us in person!
The application must be submitted by us to the NA DAAD at least two months before your departure.

Of course, students, graduates and PhD students with one or more children can also complete an Erasmus+ internship abroad. They receive additional funding if the children are taken abroad with them.

However, please note that you will usually be completing your internship full-time and will therefore need to organise childcare on site.

In some cases, studying abroad is the better option.

Students and graduates who are unable to complete an internship abroad for at least 60 days due to their children have the opportunity to take part in a Blended Short-Term Mobility. The internship is primarily completed online from home and only five to 30 days are spent abroad at the internship location

Application for reimbursement of real costs
Students and graduates can apply for full or partial reimbursement of additional costs incurred abroad during the stay abroad and, if applicable, for a preparatory trip.
The application should be submitted to the NA DAAD by the home university at least two months before departure. So be sure to contact us personally in good time if you would like to take advantage of this option.

You can also complete an internship abroad with Erasmus+ after your studies if you plan to start your career afterwards.
The same funding and selection criteria apply as for student Erasmus+ internships.

In addition, however:

  • You must still be enrolled at the time of your application for the Erasmus+ graduate internship, but be exmatriculated or have completed your studies during the internship.
  • Before the start of the internship, you must therefore submit either a certificate of exmatriculation or proof from the Examination Office that all academic achievements have been completed.
  • The internship must be completed no later than one year after your graduation.

Students can apply for up to six months of funding for a graduate internship, even if they have already received funding for an internship during their previous studies. However, the Erasmus+ budget of 12 months per study cycle must be taken into account. The graduate internship counts towards the study cycle you have just completed (e.g. the Master's programme if you have just completed your Master's degree).

 

Enrolled PhD students have the opportunity to complete shorter or longer Erasmus+ internships abroad. It is recommended to supplement physical mobility with a virtual component.

PhD candidates who are employed at the European University Viadrina can also participate in Erasmus+ staff mobility for reaserchers.

In addition to practical placements at institutions active in the labour market, education, culture and politics, Erasmus+ internships abroad can also include research visits to research institutions, archives or non-partner universities.

Long-term internship abroad (Long-Term Mobility)
For regular long-term internship mobilities (60-180 days), the same funding conditions apply as for student internships.

Short-term internships for doctoral students (Short-Term Mobility)
Short-term internships for doctoral students can be funded as Short-Term Mobility. The stay abroad can optionally be supplemented by a virtual phase from the home location.
The physical internship phase abroad must last between 5 and 30 days. There are no time limits for the virtual component. The Erasmus+ mobility grant is only awarded for the time you spend abroad.

Funding rates for Short Term Mobility:
Day 1-14: 79 EUR/day, day 15-30: 56 EUR/day

Social Top-Ups
The following PhD candidates can receive an additional contribution of EUR 100 for a physical mobility of 5 to 14 days or EUR 150 for a physical mobility between 15 and 30 days:

  • Promotion students with a disability or chronic illness, provided that this results in additional financial requirements abroad
  • Promotion students with child(ren), provided that at least one child is taken along during the entire stay abroad
  • Promotion students whose both parents or whose single parent does not have a degree from a (technical) university or a comparable qualification (e.g. from a vocational academy).

Travel allowance
The amounts stated below apply once for the outward and return journey. The basis is the distance between the place where you start your trip and the internship location. It is determined using the distance calculator of the EU Commission

Funding rates for Erasmus+ internships (Project 2025)

The first and last day at the internship location are relevant for calculating the funding amount, whereby the 31st of a month does not count. Internship salaries are not taken into account when calculating the funding amount.

The funding amount is based on the cost of living in the destination country. Therefore, please find out about the cost of living in the host country before your internship abroad. You can obtain information on this from your internship centre, from the respective diplomatic missions abroad or in the country information of the DAAD.

We support a maximum of 180 days of your internship. 

Payment is made in two instalments:

  • 80% before the mobility period, provided that the Erasmus+ agreements have been correctly completed and signed.
  • 20% after the mobility period, once all evidence has been submitted.

Social top-ups for participants with fewer opportunities

The following students, graduates and doctoral candidates can receive a top-up amount of EUR 250.00 per month:

  • Participants with a proven disability or chronic illness, provided that this results in additional financial needs abroad
  • Participants with child(ren), provided that at least one child is taken along during the entire stay abroad
  • Participants whose both parents or whose single parent does not have a degree from a (technical) university or a comparable qualification (e.g. from a vocational academy).
  • Participants who are gainfully employed if they have to give up or take a break from a job in which they have been working for at least 6 months prior to the mobility and have an average monthly net income of between EUR 450 and EUR 850 in order to complete the mobility programme
  • .

Social Top-Ups for Short Term Mobility

Eligible students, graduates and doctoral candidates receive an additional one-off contribution of EUR 100 for physical mobility of 5 to 14 days or EUR 150 for physical mobility of between 15 and 30 days.

Travel allowance
From the 2025 project onwards, all participants will receive a fixed travel allowance to help cover their cost of travelling to and from the host country. Environmentally friendly travel (Green Travel) is rewarded with a higher rate.

The amounts stated below apply once for your outward and return journey. The basis is the distance between your starting point and the internship location. It is determined using the distance calculator of the EU Commission.

Standard journey means that the majority of the journey (more than 50% of the journey to and from the destination) is made by plane or car (without carpooling), for example.

Green travel means that the majority of the journey (more than 50% of the journey to and from the destination) is made by low-emission means of transport, e.g. train, carpooling, bus or bicycle. Air travel is not considered a sustainable mode of transport, even if CO₂ emissions are offset.

Exceptional high travel expenses

Exceptional travel expenses may be reimbursed if it can be demonstrated that the standard travel allowance covers less than 70% of the actual costs. In this case, up to 80% of the actual travel expenses may be reimbursed.
If the claim is approved, the standard travel allowance will not apply.


Possible additional funding of travel days for long journey times

A maximum of two additional travel days are available for standard trips and a maximum of six additional travel days for Green Travel at the respective daily rate of the country group (see funding rates). This only applies if the outward and return journey takes more than 10 hours.

 

Students can apply for additional funds in the form of a real cost reimbursment if they:
- ...have a proven disability that results in a significant additional financial need abroad
- ...have a chronic illness that results in an additional financial need abroad
- ...start their mobility with child/ren

As the procedure between the Viadrina and the NA DAAD can be quite extensive depending on the individual situation, it is important to submit the requirements and the necessary evidence for obtaining the funds at least 3 months before the planned stay.

Before your traineeship

You can complete your Erasmus+ internship at any institution based in a programme country that is active on the labour market or in the fields of education, training, culture or politics. However, internships at EU organisations cannot be funded (see exclusion criteria under eligibility criteria)

Information on application modalities in the desired host country  offer the career services of local universities or application portals, such as the Erasmus Careers Portal or on EURES.

A good choice is also to use the Europass CV. However, familiarise yourself with the application processes of your target country and adapt the Europass accordingly.

We recommend planning at least 6 months for your internship search.

For a funded Erasmus+ internship, contracts prepared by the EU Commission must be completed and signed. Both agreements must be signed by all parties and submitted to the Career Center before the start of the internship.

Learning Agreement

The Learning Agreement for Traineeships is a contract that is signed by you, the internship provider and the university employee responsible for recognising the internship. It sets out the organisational and content-related aspects of the internship, as well as the learning objective and subsequent recognition by the university. The Learning Agreement must be signed and submitted as a scan before the start of the internship. In many study courses, the Career Center is authorised to sign on behalf of the examination boards, but sometimes also the study course coordinators. Grant Agreement

The Grant Agreement regulates the financial support for the internship as well as your rights and obligations. The agreement is signed by you and the university and the original must be submitted to the Career Center before the internship begins. Erasmus+ funding is paid out in 2 instalments: 80% before the start of the internship upon submission of all signed documents and 20% after submission of all supporting documents and reports after the end of the internship.

The Erasmus+ mobility grant does not include any insurance cover. It is therefore very essecial that you take out adequate insurance cover yourself.

Health insurance abroad

It is highly recommended that you take out international health insurance. Although you are generally covered by your national health insurance with the European Health Insurance Card for your stay in another EU country, this is only to the extent of a person with statutory health insurance in the respective host country. In many cases, however, the care and cost coverage in the destination country are below the German standard. In many cases, you also have to cover the costs of treatment yourself first and can be reimbursed up to a certain amount by your national health insurance. The cover provided by the European Health Insurance Card or German private health insurance may therefore be insufficient, especially if repatriation or special medical procedures are required.
Please seek advice from your health insurance provider and take out supplementary international health insurance that also covers you in the event of a pandemic and any necessary repatriation.

Students completing a voluntary paid internship abroad and graduates must generally take out statutory health insurance in the host country. The European rule of compulsory contributions in the host country applies here. Your health insurance provider can also advise you on this.

Accident and liability insurance

It is mandatory for all Erasmus+ interns to provide proof that they are insured against accidents and damage caused during their free time and at work (accident and liability insurance). Since in many countries interns are not insured through the internship organisation, you may have to take out these two types of insurance yourself. If your internship centre states in the Learning Agreement that you are not insured through them, you must provide proof of accident and liability insurance in the Grant Agreement.

You have the option of taking out private insurance or using the Group insurance of the DAAD. This offers combined health, accident and liability insurance for interns (tariff 720) and graduates on internships abroad (tariff 726). The DAAD insurance office can advise you on your questions.
Many students also use their parents' liability insurance.

When choosing your internship location, you should definitely keep an eye on the local cost of living and the housing market. In some major European cities, housing is very expensive and difficult to find.

Many students initially rent holiday accommodation, while others receive support in finding accommodation from their internship organisation. It is worth asking your host company for tips on finding accommodation.

You can find many different student groups on Facebook or lokal groups within the European Student Network (ESN) that relate to a specific city or country. These groups often address housing issues and offer rooms directly.

EU citizens

EU citizens usually do not need a visa for internships in other European countries, but in some cases you will need to comply with local residence formalities. You can probably obtain information on this from your internship organisation and the relevant diplomatic mission in the host country.

Non-EU citizens

Non-EU citizens generally need a visa for internships abroad. This visa can usually be applied for at the relevant embassy or consulate in Germany. In some countries, there are simplified conditions for Erasmus+ internships.

Please enquire at the relevant embassy about the applicable requirements and documents you need to hand in. We will be happy to issue different letters confirming Erasmus+ funding and the study-related nature of the internship, for example.

In addition, it is very importand that you have extended your existing residence permit in Germany before the start of your stay abroad so that it is still valid when you re-enter the Germany after the end of your internship. It is not possible to return to Germany without a valid residence permit.

Please note that visa and residence permit applications take some time to process, so take care of them well in advance.

Language support in the Erasmus+ Online Language Support (OLS) programme is available via the EU Academy platform for students going abroad with Erasmus+. You can voluntarily take an OLS language test and course online before, during and after your stay abroad and test your knowledge in as many languages and attend as many courses as you like.

Online language support is available in all official European languages: Bulgarian, Croatian, Czech, Danish, Dutch, English, Estonian, Finnish, French, German, Irish Gaelic, Hungarian, Italian, Latvian, Lithuanian, Maltese, Polish, Portuguese, Romanian, Slovak, Slovenian, Spanish and Swedish. Online language support will also be provided for the official languages of the Erasmus+ and European Solidarity Corps programme countries: Icelandic, Macedonian, Norwegian, Serbian and Turkish.

Erasmus+ mobility should become more sustainable. Therefore green travel is particularly encouraged. A "green" journey means using low-emission transport, like buses, trains, bicycles or carpools. It should be used for most of the journey.

By choosing low-emission means of transport for your journey, you can support the environment and benefit from additional financial support and funded travel days.

If you are travelling to and from your internship location by train, you can use the Interrail Pass for Erasmus+. The Interrail Pass is valid for six months, so it can be utilised for both your outward and your return journey. You can also use it to explore the host country and neighbouring countries during your stay.

During and after the traineeship

Extending Your Erasmus+ Traineeship

If you wish to extend your Erasmus+ traineeship, you can do so up to one month before its scheduled end date by emailing careercenter@europa-uni.de. If an extension is approved, the new dates will be added to the Learning Agreement ammendment and confirmed with signatures. The funding amount will be adjusted according to the new duration, with a maximum funding limit of 180 days.

Shortening/Canceling the Traineeship

Please always contact us before shortening or canceling your internship.

If you need to finish your traineeship earlier than planned, submit the addendum to the Learning Agreement, signed by you and your internship provider, indicating the new shorter duration. We will recalculate the funding amount and may request repayment of any excess funds.

If you shorten the internship to less than the required 60 days for personal or family reasons, you must repay the entire grant received. However, repayment is not required if you must leave due to medically confirmed illness, force majeure, or an urgent advisory from the Federal Foreign Office.


After completing your Erasmus+ traineeship, you are required to submit the following certificates and reports:

  • A qualified internship certificate or the Erasmus+ Traineeship Certificate, confirming your internship, its duration, and activities.
  • A brief internship report or, in case your internship is to be recognised via the Career Center, the completed Career Center online form.
  • The completed Participant Report from the EU Commission (an online questionnaire).

Shortly before your Erasmus+ internship ends, we will send you an email with all the necessary information and templates. Please submit the required documents within six weeks after your internship ends. Once you have submitted all the necessary documents, we will pay the second instalment of your funding.

Ideally, your Erasmus+ Traineeship should be recognised as a course achievement after successful completion, either as a compulsory or optional internship. For this, your internship must meet the requirements  for compulsory internships  laid down in the study and examination regulations.
Recognition of the internship is specified in the Erasmus+ Learning Agreement prior to its beginning.
